We are seeking a Program Specialist to provide a broad range of administrative, operational, and marketing support to our California team, and our Program Manager. Working collaboratively with all team members, the Program Specialist is responsible for maintaining and improving existing internal team processes, developing highly collaborative and effective client relationships with customers, identifying opportunities to develop and implement new processes, and providing high level organizational and operational support to the entire team. The Program Specialist also takes on special projects/assignments at the discretion of the Program Manager. An effective Program Specialist utilizes a specific skill set, including an organizational mindset, analytical ability, a communicative approach, a willingness to handle administrative details, and an innate desire to be helpful. This is a full-time non-exempt role. This position is located in our Pleasanton, California office – working part-time in the office and part-time remotely is an option. The Program Specialist reports to the Program Manager.

Essential Functions

  •  You provide overall administrative support to the California Territory team. Assist with identification, implementation, team member communication, and building internal processes.
  •  You build positive customer relationships and become a primary contact for current utility program clients, promoting our energy efficiency services.
  •  You take case studies and develop program marketing collateral to illustrate how participants benefit from our programs.
  •  You understand the marketing, business development, and customer engagement functions, as they apply to industrial and utility customers and help manage marketing campaigns.
  •  You manage invoicing processes, project creation, and project list maintenance within Ajera (a project management software) as the team Ajera superuser. This role will be responsible for coaching team members on Ajera best practices.
  •  You assist the Program Manager with team workload and capacity reporting to support project assignment and staffing decisions.
  •  You develop and prepare reports for both internal and external customers, analyzing data for accuracy and completeness, and reconciling inconsistencies.
  •  You assist with monthly reporting to the clients.
  •  You perform administrative quality checks of engineering reports and related project tracking.
  •  You manage project engineering equipment inventory. Manage process for check-in/check-out of equipment, and for equipment repair, replacement, and calibration.
  •  You support Project Engineering internal software tool building lead. Keep program-specific tools, such as incentive calculators, updated with most recent utility program information.

  •  Associates or Bachelor’s degree preferred (or significant coursework completed), with preference for marketing, business administration, project management or similar area of study
  •  A minimum of 4 years of work experience in a customer service role, preferably with a technical focus
  •  Previous experience managing multiple customers and programs across multiple locations
  •  Previous experience with continuous improvement programs desirable
Education & Experience
  •  Associates or Bachelor’s degree preferred (or significant coursework completed), with preference for marketing, business administration, project management or similar area of study
  •  A minimum of 4 years of work experience in a customer service role, preferably with a technical focus
  •  Previous experience managing multiple customers and programs across multiple locations
  •  Previous experience with continuous improvement programs desirable
Compensation & Benefits

Our total rewards include competitive pay and excellent benefits.
